By default, documents are visible to everybody. This, however, can be tuned through the document options.
You can add co-authors to your documents. Co-authors (called "collaborators") have the same acces to your documents as you, except that they cannot edit the list of co-authors, and cannot delete the document.
In your dashboard, documents for which you are a co-author are listed in "Collaborations" sections. To edit collaborators, choose the "Edit collaborators" item in the Action menu.
This hides your document from the list of publications that appears at the Documents Live home page. This is useful, for instance, if your document is inside a publication and should be accessed only from the publication. The Documents Live help center is managed this way : the topics are not visible on the home page, but they are visible from the LaTeX2Web help center, which is a publication.
When a document is marked as a draft in the document options, it is visible (and editable) only by you and your co-authors. Note that the attached discussion threads are also affected by this status, which means that you can exchange with your co-authors privately.
Every document has an attached list of authorized readers. By default, this list is empty, and everybody can view the document. However, if this list is not empty, only the members of the list can view the document (together with the author and co-authors). This is handy if you want to produce confidential documents.
This control access is implemented at a very low level to ensure its reliability.
